b- FILL OUT THE BARONAGE VOTING POLL. We need a certain number of polls filled out to be considered valid.
c- May Day – Award recommendations for final court of Angus and Melisande requested
d- Pennsic registration has opened. We need a camp reeve to be there for the 2 weeks as we will not be there.

b- Outstanding check for May Day deposit
c- Report finished tonight for 2023 Domesday
d- Discussing transition with deputy at 12th Night
Chronicler: Roisin de Burgh
a- Winter newsletter has been published and is available on the Facebook Group and website (Note from Chatelaine that officer need to send in letters. We have had a lack of letters in newsletter due to them not being sent in.)
b- I need more people for the Meet the Barony segment. Link can be found pinned on the Facebook Group. Or reach out to the Chronicler
c- I am requesting pictures and stories of Fenix’s history for the 30th anniversary. If you prefer to share the story verbally, let me know and I will find a way to meet up and record the stories

II- Old Business
- a- Chatelaine is still planning for day to make loaner gorgets for new members
- b- Proposal for practices to be held at Pioneer Park in Kentucky has been tabled until February
- c- Gareth de Burgh volunteers to replace current baronial Exchequer. Vote on Exchequer tabled until January so Hypathia can walk him through process as deputy
- d- Chatelaine looking for a deputy
- e- Seneschal will be stepping down in February
- f- Twelfth Night
- a. Site opens at 8 for set up. Event starts at 9.
- b. Site must be left clean and the security system set so we are not charged and extra fee.
- c. Need power strips for food/crockpots.
- d. No open flame.
- e. Alcohol cannot leave building premises
- g- May Day
- a. Got a 2nd yurt.
- b. Still need a parking person, A&S coordinator.
- c. We might have a youth rapier marshal.
- d. Meeting after 12th Night for staff as a check in
III- New Business:
- a- We have been contacted by Great Parks of Hamilton County for a demo opportunity: Saturday, June 15 from 9:30-3:30pm and Sunday, June 16 from 12-4pm. Glenwood Gardens (10397 Springfield Pike, Woodlawn, OH 45215)
- a. “Fairy tale festival / Fables and Folklore Festival”
- b. A&S, especially weaving, Armored and rapier fighting, talking about our kits and taking pictures, normal demo stuff.
- c. We would have a 20×20 list space plus some surrounding / adjacent area for gear and displays
IV- Announcements
- a- Baronial Polling is live! Link can be found on the website under Baronage Transition.
- a. Polling will begin January 8th, 2024 and run through 11:59pm on January 29th, 2024
- b. Polling is open to all members of the barony, regardless of paid/unpaid membership status
- c. Only ONE ballot per member. Ballots will be verified by your membership number, address, and name. Inaccurate information or those who file more than one ballot under the same member information will not be tallied.
- d. If you reside in the official area of Fenix, you would fill out the Resident poll.
- e. If you live outside of that area, you would fill out the Non-Resident poll.
- f. After the poll is complete, Their Majesties will review and make their decision. The decision will be announced, and the new Coronet will be invested at our May Day event on June 1st, 2024.
